Archiving Policy
Archiving and Data Distribution Policy
The Journal of Design Service and Social Innovation (JDSSI) is committed to the long-term preservation and accessibility of published research. This policy outlines our approach to digital archiving, data preservation, and content distribution to ensure perpetual access to scholarly work.
Commitment to Preservation
JDSSI guarantees:
- Perpetual access: All published content will remain freely accessible indefinitely
- Digital preservation: Multiple backup and archiving strategies to prevent content loss
- Format stability: Content maintained in stable, widely supported formats
- Persistent identifiers: DOIs ensure permanent links to all articles
- Version control: Clear identification and preservation of article versions
Digital Archiving Strategy
Primary Archiving
JDSSI content is preserved through multiple mechanisms:
- Publisher servers: Primary storage on Michelangelo Scholar Publishing Limited servers with regular backups
- OJS platform: Content managed through Open Journal Systems with built-in preservation features
- Multiple locations: Redundant storage across geographically distributed servers
- Regular backups: Daily automated backups with multiple restore points
- Disaster recovery: Comprehensive disaster recovery plan ensuring business continuity
File Formats
Articles are preserved in multiple formats to ensure long-term accessibility:
- PDF/A: Archival-quality PDF format (ISO 19005-1 compliant)
- HTML: Structured HTML for web access and text extraction
- XML: JATS (Journal Article Tag Suite) XML for metadata and content structure
- Original files: Source files (Word, LaTeX) retained when provided by authors
These formats ensure content can be accessed even as technology evolves.
Third-Party Archiving
JDSSI participates in third-party preservation networks:
- LOCKSS (Lots of Copies Keep Stuff Safe): Distributed preservation network (if applicable)
- CLOCKSS (Controlled LOCKSS): Dark archive for catastrophic publisher failure (if applicable)
- National libraries: Deposit in relevant national library archives
- Institutional repositories: Support for author self-archiving
- Subject repositories: Indexing in discipline-specific repositories
Persistent Identifiers
Digital Object Identifiers (DOIs)
Every article published in JDSSI receives a unique DOI:
- CrossRef registration: All DOIs registered with CrossRef
- Permanent links: DOIs remain valid even if URLs change
- Metadata preservation: Complete article metadata associated with each DOI
- Citation tracking: DOIs enable tracking of article citations and impact
- Version identification: Separate DOIs for different article versions when appropriate
DOI Format: https://doi.org/10.59528/ms.jdssi[year].[volume][issue]
ORCID Integration
JDSSI supports ORCID (Open Researcher and Contributor ID):
- Authors encouraged to provide ORCID identifiers
- ORCIDs linked to published articles
- Permanent connection between researchers and their work
- Enhanced author disambiguation and attribution
Content Versioning
JDSSI maintains clear version control for all articles:
Version Types
- Submitted Manuscript (SM): Original submission before peer review
- Accepted Manuscript (AM): Post-peer review, pre-copyedit version
- Version of Record (VOR): Final published version with copyediting and formatting
- Corrected Version: VOR with minor corrections published as errata
- Retracted Version: VOR with retraction notice (article remains accessible)
Version Preservation
- All versions retained in archives
- Version history clearly documented
- Links between versions maintained
- Changes between versions tracked and noted
Metadata Preservation
Comprehensive metadata is preserved for all articles:
- Bibliographic metadata: Title, authors, affiliations, abstract, keywords
- Publication metadata: Volume, issue, page numbers, publication date, DOI
- Rights metadata: License information (CC BY-NC-ND 4.0), copyright holder
- Technical metadata: File formats, creation dates, checksums
- Administrative metadata: Submission dates, review history, editorial decisions
- Citation metadata: References, CrossRef linking
Metadata is stored in standardized formats (Dublin Core, JATS XML) for interoperability.
Data Availability and Sharing
Research Data Policy
JDSSI encourages authors to make research data openly available:
- Data availability statements: Required for all articles
- Repository deposit: Data deposited in recognized repositories (Zenodo, Figshare, institutional repositories)
- Data citation: Datasets cited with DOIs or persistent identifiers
- FAIR principles: Data should be Findable, Accessible, Interoperable, and Reusable
Data Availability Statement Types
Authors must include one of the following statements:
- "Data available:" Data is publicly accessible [provide repository name and DOI/URL]
- "Data available on request:" Data available from authors upon reasonable request [explain any restrictions]
- "Data not available:" Data cannot be shared due to [legal/ethical/commercial reasons]
- "No new data:" This study did not generate new data
Supplementary Materials
Supplementary materials are preserved alongside articles:
- Stored in stable formats (PDF, CSV, Excel, common image formats)
- Assigned DOIs linking to parent article
- Preserved with same archiving strategies as articles
- Freely accessible under same license as article
Author Self-Archiving Rights
JDSSI supports and encourages author self-archiving:
Green Open Access
Authors may deposit any version of their article in repositories:
- Preprints: May be deposited at any time in preprint servers
- Accepted manuscripts: May be deposited immediately after acceptance
- Published version: May be deposited immediately after publication
- No embargo: No waiting period for any version
Acceptable Repositories
- Institutional repositories (university, research center)
- Subject repositories (arXiv, SSRN, discipline-specific)
- Personal websites and academic profiles
- Academic social networks (ResearchGate, Academia.edu)
- Preprint servers
- National repositories
Self-Archiving Best Practices
When depositing in repositories, authors should:
- Provide complete citation to the published article
- Include DOI link to the Version of Record in JDSSI
- Note the version being deposited (SM, AM, or VOR)
- Include license information (CC BY-NC-ND 4.0)
- Acknowledge first publication in JDSSI
Content Updates and Corrections
Post-Publication Changes
JDSSI handles post-publication changes transparently:
- Minor corrections (errata): Correction notice published and linked to original article; original article updated with correction note
- Major corrections: New version published with detailed explanation of changes; both versions preserved and linked
- Retractions: Retraction notice published; original article remains accessible with retraction watermark
Version History
All versions are preserved with clear documentation:
- Date and nature of changes recorded
- Reason for changes provided
- Previous versions remain accessible
- Version history displayed on article page
Withdrawal and Retraction Policy
Article Retraction
If serious issues are discovered after publication:
- Retraction notice: Published with clear explanation of reasons
- Article remains online: Retracted articles not deleted, marked with watermark
- DOI remains active: Links to retraction notice
- Metadata updated: CrossRef and indexing services notified
- Permanent record: Both article and retraction preserved indefinitely
Pre-Publication Withdrawal
Articles withdrawn before formal publication will:
- Be removed from the publication queue
- Not be assigned a DOI nor published online
- Leave no permanent record in the journal’s archive
- Allow authors to submit the manuscript to another venue without restriction
